Exhibitor Manual

Below you will find information and links that will prepare you for the Bio Innovation Conference. Please carefully read through each section below and let us know if you have any questions.

Key Dates

  • Friday, September 22: Submit 100-word company description and company logo
  • Friday, October 6: Submit name and address of exhibit attendee(s)
  • Sunday, October 29 between 4:00pm – 9:00pm: Exhibitor move-in
  • Monday, October 30 between 6:00 a.m. – 7:30 am: Exhibitor move-in
  • Sunday, October 29: Reserve room block

  • Exhibitors needing to ship materials in advance to the hotel may do so utilizing the “Shipping and Handling Form 2023.”  Exhibitors who do so will liaise directly with the hotel and are responsible for their own shipping and storage costs.
  • Exhibitor move-in will occur Sunday, October 29 between 4:00pm and 9:00pm and Monday, October 30 between 6:00 a.m. and 7:30 am.  Your exhibit space will be identified with signage.  Exhibitor spaces must be set up by Monday, October 30, 2023 at 7:30 a.m.
  • The Exhibit Hall location is Salons E&D.
  • Exhibitor move-out will occur Monday, October 30 at 6:00 p.m.  All exhibitor materials must be removed from the exhibit hall by 9:00 p.m.

Attendees will be in the Exhibit Hall during the following times:

  • 7:30-8:45 a.m. – Breakfast, networking and welcome remarks
  • 9:45-10:00 a.m. Transition time between session
  • 11:00 -11:15 a.m. Transition time between session
  • 12:15 – 1:30 p.m.  Networking Lunch
  • 2:30 – 2:45 p.m. Transition time between sessions
  • 3:45 – 4:00 p.m.  Transition period
  • 5:00 – 6:00 p.m.  Cocktail reception

Exhibit Space

A map will be posted of the exhibit area in the coming weeks.

  • Each space comes with (1) six-foot table, tablecloth, and (2) chairs.
  • The exhibit hall is carpeted and will have pipe and drape behind each space.
  • Exhibitors are required to bring their own signage, collateral, and any other materials.
  • Each exhibitor will be provided complimentary Wi-Fi and (1) electrical outlet.
